Additional Funding Request Process – Guidance for Grant Recipients
Under all funding pathways, organisations can apply for extra funding for participants who meet certain conditions. These conditions are listed on page one of the additional funding form.
To request extra funding, use the Additional Funding form and click the ‘Apply now’ button at the bottom. These must be submitted no more than 30 calendar days after the mobility or project activity has taken place. Requests submitted after this time will only be considered in exceptional circumstances. Further clarification on this can be found in Schedule 4 of your Grant Agreement letter.
Additional Funding can be requested for the following purposes:
- Additional funding for the purposes of Green Travel (Green Travel refers to low emission means of transport for the majority of your trip)
- Inclusion support for disadvantaged participants (to help cover costs to enable disadvantaged participants to take part in a mobility)
- Inclusion support for participants with Disabilities, or participants with Additional Learning Needs (ALN) (support for participants which is directly related to their additional needs)
- Assistance with travel to a UK travel hub as part of an international mobility
- Additional funding is only awarded for specialist clothing for destinations where extreme weather conditions are expected.

Funding for a group mobility
If the request is for the same costs, for example several participants need additional funding for a passport, this can be completed on the same form. All participant references need to be included in the application.
If you have many participants or costs, you can send a spreadsheet with full details of the costs and participants to support@taith.wales along with your additional funding request.
Completing the form
Grant Recipient/Mobility Details
When completing the form, you will be asked for your unique Taith reference number. Please ensure that you have this to hand, or you will not be able to progress the application.
The name of the Grant Recipient is the name of your organisation. The contact person details should match those that we have on record. If this is incorrect or not completed, it could lead to a delay in processing the request.
Request details
We will require further information on the participant that you are requesting additional funding on behalf of. The applying organisation should provide the unique participant identifier as per the example. This is the number that should be used to identify this participant on any Taith activity, projects or mobilities they are involved in. An individual’s name should never be used, only the unique participant reference.
Where possible, please provide as much information as you can for each relevant question. For example, if you’re asking for extra funding to support a participant with ALN, please give as much detail as possible about how this support will help them take part in the mobility. Explain why this wouldn’t be possible with the Taith funding
Detailed Cost Estimate
You are requested to provide a breakdown of all costs included in their request. In cases where these costs are estimated, you must evidence that these estimates are realistic and offer value for money. For example:
- If you’re asking for extra money for travel, you need to show that you’ve chosen the cheapest option—like public transport instead of private. If you want to use private transport, you must give 3 quotes and explain why public transport isn’t suitable.
- If you’re asking for things like clothing, luggage, or equipment, you need to include at least three price comparisons from websites. But if the total cost is under £20, just list the items on the form—no price comparisons needed.
We will accept estimates for any items/services you intend to purchase during your mobility (e.g. wheelchair hire). For quotes and estimates listed in another currency, please use the exchange rate on the date of submission.
For items with a fixed cost (e.g., visas, passports, and the daily rate for an accompanying carer), one ‘quote’ is sufficient.
Even though the budget item is marked as ‘optional’, you still need to fill it in.

Documentary Evidence to be retained by the Grant Recipient making the application
To support your request for additional funding, you should collect and keep proof of the participant’s status. The types of proof you need are listed in the Operational Handbook, which is available in the Grant Recipient Area on the website.
Next steps
We aim to process and review all additional funding requests within 10 working days. We may get in touch if we require more information or clarification on your request. If your request is approved and a contract variation is necessary, we will send this within 15 working days and it must be signed and returned by you within 10 calendar days.
