Change Request Process – Guidance for Grant Recipients

There are a number of change requests you can make during your project’s lifetime. These are separated into Project Change requests and Activity Change requests. All requests should be submitted to Taith at least 30 calendar days prior to the requested change taking place. Taith is unable to consider requests for activity that has already happened, unless there are proven exceptional circumstances.

Project Change Requests

To submit a request to make a change to your project, a Change Request form should be completed. A project change can be one of the following:

  • A change of contact person
  • A change of legal representative
    • This should be submitted by the previous legal representative, or someone of authority within the organisation
    • The application requesting to change the legal representative must be accompanied by a headed letter confirming the request
  • Consortium changes
    • Adding a new partner, or removing or swapping any organisations named as consortium partners in the original application
  • A change in project duration (i.e., from 12 to 18 months)*

Activity Change Request

Activity change requests do not need to be submitted via the Change Request form, but instead should be recorded in the spreadsheet included in your reporting tool folder as soon as they are known. These changes can include:

  • Changes over 20% of the following based on the original approved budget:
    • Participants numbers for any activity
    • Accompanying person numbers*
    • Staff numbers for any activity
    • Mobility days, provided that the minimum duration is still met
      • Mobility durations can be found in the Programme Guide
    • Change to a destination country or inclusion of another destination in a mobility, where the project is not funded by the HE Education or HE Research strands
    • Force majeure

Completing the form

The form will only show you options applicable to the project change request you are submitting. If you feel that the options being presented do not fit the request you are making, please contact us as soon as possible via support@taith.wales Please ensure that you include the relevant evidence that is requested with the form so that there is no delay in your request being processed.

Next steps

The Taith Programme Executive will aim to process and review all change requests within 10 working days. We may get in touch if we require more information or clarification on your request. If your request is approved and a contract variation is necessary, this will be sent out by the team within 15 working days and must be signed and returned by the requesting organisation within 10 calendar days.
